Selling Company Cars and Fleets: What Businesses Should Know
Fleet renewal, relocation or a switch to electric mobility: sooner or later almost every company faces selling its business vehicles. Unlike a private sale, book values, VAT and process effort all play a part.
Handling VAT correctly
If your company is VAT-registered and input tax was reclaimed at purchase, the sale is generally taxable — VAT is owed on the sale price. The purchase contract should therefore state clearly whether the agreed price includes or excludes VAT. Book value is not market value
The residual book value in your fixed-asset accounting follows a depreciation schedule, not the used-car market. In practice, achievable market value is often above book value — especially for vehicles depreciated on a straight line over four or five years. A sale can therefore produce a book gain; another point for your accountant.
Several vehicles at once — the efficient route
With fleets, a different approach pays off than with a single car:
- Create a list with make, model, year, mileage, condition and location per vehicle.
- Get a package quote. Buyers calculate differently for a batch than for individual cars — transport and processing effort is spread out.
- Plan a bulk handover. Ideally all vehicles are in one place and collected on the same day.
- Handover protocol per vehicle with mileage and key count — your bookkeeping will thank you.
Clarify these points in advance
- Livery and decals: company logos are removed by the buyer — clarify whether that is included in the price.
- Telematics and tracking devices: these should be uninstalled or at least deactivated before handover.
- Digital data: clear hands-free systems, navigation histories and trip logs — also relevant for data protection.
- Number plates: with interchangeable or collective plates, sort out the allocation in good time.
